Receptionist and Office Administrator
Position Overview
NCMB offers a diverse range of accounting, auditing, tax, and business advisory services. As part of our expansion, we are seeking a proactive and organised Receptionist & Office Administrator to join our growing team. This full-time role provides an opportunity to work alongside a dedicated team of professionals, support daily office operations, and contribute to fostering strong client relationships.
Roles and responsibilities
- Manage the front desk and reception area, ensuring a professional and welcoming environment.
- Greet visitors and attend to their needs, serving as the first point of contact for clients and guests.
- Handle incoming and outgoing correspondence, track mail, and coordinate courier services.
- Answer and manage phone calls and email inquiries in a professional and timely manner.
- Assist in general office administration, maintaining office organisation and efficiency.
- Follow up with staff on firm-wide requests, such as timesheets and event participation.
- Monitor and order office supplies, including stationery and kitchen essentials.
- Continuously ensure office sanity and safety.
- Offer hospitality services to guests during in-office meetings.
- Act as personal assistant to the firm’s Partners including handling and coordinating their schedules.
- Able to take and compile board meeting minutes both internally and for clients even if certain high-level topics are being discussed.
- Manage petty cash transactions and maintain accurate records.
- Perform ad hoc administrative tasks as required.
Job requirements
- Organised with good verbal and non-verbal communication skills
- Client oriented with a professional and approachable attitude
- Computer Literate and proficient use of Microsoft Office (Word, Excel, Outlook, etc.)
- Maltese and English speaking
- Minimum O-Level Standard
