Position Overview

NCMB offers a diverse range of accounting, auditing, tax, and business advisory services. As part of our expansion, we are seeking a proactive and organised Receptionist & Office Administrator to join our growing team. This full-time role provides an opportunity to work alongside a dedicated team of professionals, support daily office operations, and contribute to fostering strong client relationships.

Roles and responsibilities

  • Manage the front desk and reception area, ensuring a professional and welcoming environment.
  • Greet visitors and attend to their needs, serving as the first point of contact for clients and guests.
  • Handle incoming and outgoing correspondence, track mail, and coordinate courier services.
  • Answer and manage phone calls and email inquiries in a professional and timely manner.
  • Assist in general office administration, maintaining office organisation and efficiency.
  • Follow up with staff on firm-wide requests, such as timesheets and event participation.
  • Monitor and order office supplies, including stationery and kitchen essentials.
  • Continuously ensure office sanity and safety.
  • Offer hospitality services to guests during in-office meetings.
  • Act as personal assistant to the firm’s Partners including handling and coordinating their schedules.
  • Able to take and compile board meeting minutes both internally and for clients even if certain high-level topics are being discussed.
  • Manage petty cash transactions and maintain accurate records.
  • Perform ad hoc administrative tasks as required.

Job requirements

  • Organised with good verbal and non-verbal communication skills
  • Client oriented with a professional and approachable attitude
  • Computer Literate and proficient use of Microsoft Office (Word, Excel, Outlook, etc.)
  • Maltese and English speaking
  • Minimum O-Level Standard
